Terms and Conditions for ACTIV8 VR

  1. General

1.1 These Terms and Conditions govern your use of the VR centre facilities and services provided by ACTIV8 VR (hereinafter referred to as “the Centre”). By making a booking, you agree to be bound by these Terms and Conditions.

1.2 The Centre offers various VR experiences, interactive darts, and a climbing wall (hereinafter referred to as “the Activities”).

  1. Bookings and Payments

2.1 Bookings for the Activities can be made online/in-person/by phone.

2.2 Payment is due at the time of booking. We accept cash and card payments.

2.3 All prices are inclusive of applicable taxes.

  1. Refunds and Cancellations

3.1 If you need to cancel your booking, a full refund will be automatically issued to your original payment method. Please ensure the cancellation is made at least 24 hours before the booking start time.

3.2 Refunds may also be issued if:

 * There was a disruption in service due to unforeseen circumstances.

 * The Centre was unable to complete the booking due to technical issues.

3.3 No refunds will be provided solely on the basis that a customer did not enjoy their experience. While we strive to provide enjoyable experiences for all our customers, individual preferences vary, and therefore dissatisfaction with an experience itself does not constitute grounds for a refund.

3.4 However, in situations where a customer expresses dissatisfaction with their experience, the Centre may, at its sole discretion and depending on availability and the specific circumstances of the situation, consider offering an alternative experience. This is not guaranteed and will be evaluated on a case-by-case basis. Factors considered will include, but are not limited to, the reason for dissatisfaction, the availability of alternative activities, and the customer’s behavior.

3.5 In the event of a refund being issued under clauses 3.1 or 3.2, the Centre will endeavour to process it as quickly as possible. Please note that it may take a few business days for the refund to reflect in your account, depending on your payment provider.

  1. Use of Facilities

4.1 Participants must comply with all safety instructions and guidelines provided by the Centre staff.

4.2 Certain Activities may have age, height, or health restrictions. It is your responsibility to ensure that all participants meet these requirements.

4.3 The Centre reserves the right to refuse entry or stop an Activity if a participant is deemed to be behaving in a dangerous or inappropriate manner.

4.4 Participants are liable for any damage caused to the Centre’s equipment or property due to their negligence or misuse.

  1. Climbing Wall Specific Conditions

5.1 Participants using the climbing wall must complete a waiver form before participating.

5.2 Children under 7 must be supervised by a responsible adult at all times.

5.3 Appropriate footwear and clothing must be worn while using the climbing wall.

  1. Health and Safety

6.1 Participants with certain medical conditions, including but not limited to epilepsy, heart conditions, or pregnancy, may be advised against participating in certain Activities. Please consult with your doctor if you have any concerns.

6.2 The Centre is not liable for any injuries or health issues that may arise from participating in the Activities, except in cases of gross negligence on the part of the Centre.

  1. Liability

7.1 To the maximum extent permitted by law, the Centre shall not be liable for any indirect, incidental, special, or consequential damages arising out of or in connection with your use of the Centre’s facilities or services.

  1. Privacy

8.1 The Centre collects personal information from you for the purpose of processing your booking and providing you with our services. We are committed to protecting your privacy and will handle your personal information in accordance with our Privacy Policy.

  1. Loyalty Program

9.1 The Centre offers a loyalty program to reward returning customers.

9.2 Customers will receive one (1) stamp on a designated loyalty card for each completed booking(visit, when multiple activities are booked for the same date) they make. The stamp will be awarded to the individual who made the booking, regardless of the number of participants in the booking or the duration of the experience.

9.3 Once a loyalty card has been fully stamped with five (5) stamps, the cardholder can redeem it for one (1) free session of any of the Centre’s offered activities (VR games, interactive darts, or climbing wall), subject to availability.

9.4 The free session obtained through the loyalty program is subject to the same terms and conditions as regular bookings, including any age, height, or health restrictions for specific activities.

9.5 Loyalty cards are non-transferable and can only be used by the individual to whom they were issued.

9.6 Lost or damaged loyalty cards may be replaced at the Centre’s discretion. The Centre is not responsible for lost stamps if the card is not presented at the time of booking.

9.7 The Centre reserves the right to modify or terminate the loyalty program at any time without prior notice. However, any fully stamped cards at the time of termination will still be honored.

9.8 The free session obtained through the loyalty program cannot be exchanged for cash or any other form of compensation. It also cannot be combined with any other offers or promotions unless explicitly stated by the Centre.

  1. Governing Law

10.1 These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales.

  1. Changes to Terms and Conditions

11.1 The Centre reserves the right to modify these Terms and Conditions at any time. Any changes will be posted on our website and will be effective immediately.
